REQUEST FOR PROPOSAL
The City of Diamond Bar is currently accepting proposals for a provider of recreation
event and program supplies. Supplies consist of: small toys and games, candy, crafts,
decorations and party and teaching supplies for the Parks and Recreation Department
during the 2023/2024 FY.
Introduction
The City of Diamond Bar has several special events and recreation programs and
events that require special supplies throughout the year. Supplies consist of: small toys
and games, candy, decorations crafts and party and teaching supplies. The type of
items and quantities depends on the event or program.
Scope of Work
To be considered, proposals must be submitted to the City of Diamond Bar by Friday,
August 18, 2023 at 5:30PM. All proposals must be itemized and include all fees
associated with cost, including tax, printing, design, delivery, and any other additional
charges. Please submit your quote based on the information provided.

Toys & Novelties & Candy
• (200) Vending Assorted Bouncing Balls – 44mm (Bulk)
• (60) Vinyl Foam Filled Stars and Stripes Football
• (50) Inflatable Medium Classic Beach Balls – Inflated 9”
• (200) Neon Latex Punch Balls – 10”
• (160) Hot Pink Candy Sticks – 5”
Crafts & Education
• (60) Color your own Halloween Fuzzy Bookmarks – 6 ¾”
• (120) Magic Color Scratch Christmas Tree Ornaments – 5”
• (100) Paper Color Your Own Easter Picture Frames – 7” x 8”
• (60) Reding Punch Cards – 3 ½” X 5”
Party Supplies & Decorations
• (25) Plastic Patriotic Table Skirt – 14ft x 29”
• (50) Light Blue Round Tablecloth – 82”
• (100) Paper Mini Monster Baking Cups with Picks – 3” baking cups, 4” picks
• (25) Polyester Patriotic Bunting – 39” x 22”
Vendor Requirements
1. Fill out and submit the Cost Proposal – Bid Sheet on PlanetBids.
2. Delivery of all ordered items within 7-10 business days.
3. Must not require a minimum order amount.
4. Provide discount pricing for government agencies.
5. Must be able to accept payment in check form and provide itemized invoices.
6. Must be able to submit W-9 Form.
Selection Criteria
In reviewing and evaluating the response to this RFP, City staff will be considering the
following:
• Responsiveness and comprehensiveness of the proposal with respect to this
Request for Proposal (RFP).
• Availability of the company and their ability to meet the proposal scope of work.
• References
• Cost of quoted items.
The City reserves the right to reject any or all proposals and may elect to make a
decision without further discussion or negotiation. This solicitation for proposals is not to
be construed as a contract or order of any kind. The City is not liable for any costs or
expenses incurred in the preparation of the proposal.
