Sheriff Deputy Scheller would like to meet with Niagra to go over the course and discuss route safety. Do you have any time this coming Monday, April 10 in the morning? Sheriff will
need to set up a special patrol for the event, which typically consists of at least two deputies that work four hour shifts (it's the Sheriff minimum hourly rate for special patrols).
Sharing that information as the City typically pays the Sheriff invoice then separately invoices the applicant after the fact.

To get the Temporary Use Permit (TUP) started, please submit the following:
- Application (Received and attached. Please update with date and time of the event, once confirmed)
- Map of proposed route
- $304.03 application fee, you may either mail in a check, drop the check off at City Hall, or I can set up an account for you to pay online. Note that a 2.5% convenience fee will apply
for all credit/debit payments. Please let me know which you prefer.

Thank you for meeting this afternoon. As discussed, I wanted to provide follow up to today's discussion points.
* New 5k run date on Saturday, April 29. I've started asking my colleagues and will follow up shortly to confirm date.
* TUP / Encroachment Permit - A Temporary Use Permit (TUP) and Encroachment Permit will be required. Once you have selected a traffic control company, please have them reach out
to Nicholas Delgado so we can evaluate the Safety Plan, and provide any modifications to route. If you have any questions about fees or waivers, you can request City Manager consideration.
* Public Safety personnel - I've asked Sheriff to confirm availability on 4/29. Once we confirm, I will notify LA County Fire. Typically the applicant covers any Public Safety cost
through reimbursement to City since we are direct billed.
* Gateway Notifications - I will ask my colleagues for a current list of Gateway businesses so we can provide to you for direct communication to our neighbors.
* Foothill Transit - My Public Works colleagues reminded me that any closures within Gateway requires notification to Foothill Transit. I can facilitate that notification once we
know the actual date and times of the road closures,.
* Diamond Bar Community Foundation - If you would like I can put you in contact with some Foundation members should you want to partner for a future 5k in the City.
If there is anything I may have missed please let me know. I'm hopeful that we can get everything situated so we can provide the necessary approvals and notification to Gateway tenants
as soon as possible.

If we can set up a meeting this week that would be ideal. The City received a separate request on 3/25 from another Gateway Corporate Center tenant for on street parking.
Because Sheriff has not confirmed availability we should plan to consider a date in April if you are amenable.

Thanks for taking my call. As discussed, there are a couple options for the 5k run map that include your proposal as well as the previous 5k that I've attached for reference. Note
the previous run utilized a majority of Gateway Corporate Center as requested by that applicant, so the associated logistics, staffing, and public safety support was high. I'm forwarding
this information so you may review prior to a meeting we will schedule next week. How does your schedule work on Tuesday morning?
Public Works provided the following regarding third party traffic control companies. Should you utilize their services, they would need to submit a traffic control plan and request
an encroachment permit from the City's Public Works team. I've cc'd Nicholas Delgado with Public Works should you want additional information on that process.

Thank you for reaching out regarding the proposed Niagra 5k run on Saturday, March 25 in Gateway Corporate Center.
Special events in the roadway that include lane and/or intersection closures require the City to coordinate efforts with City Public Works and contractors, along with Sheriff's Department
personnel. Those advance planning efforts typically start a minimum of six months in advance due to the logistics to plan such events. I will commence checking the dates with our
teams and Sheriff to confirm that March 25 works for everyone's schedule. We will also need to review your proposed map. There is a previous 5k route that a community foundation has
used in Gateway Corporate, but it is different than the route proposed by Niagra.
Planning will typically place their conditions of approval, and provide you with an application cost. Within the conditions, there will also be a reimbursement requirement that Niagra
cover all costs associated with City and contractor staffing, Sheriff costs, and supplies such as cones to delineate the entirety of the course. The City will also require that Niagra
provide supplemental insurance and additional insured endorsement covering the City. It's been several years since the last run, so I'd need to work with our partners to get an estimated
cost - which could be anywhere from $5,000 upwards depending upon staffing/Sheriff support.
I would recommend that we set up a meeting as soon as possible to talk logistics. We can have at City Hall or your offices. I'd recommend bringing in our Public Works and Sheriff team
lead, so we can look at the route and evaluate alternatives since time is of the essence.

requirements. Once ready, you may submit directly to me via email. For the $304.03 application fee, you may either mail in a check, drop the check off at City Hall, or I can set up
an account for you to pay online. Note that a 2.5% convenience fee will apply for all credit/debit payments. Please let me know which you prefer.
Please note that the review process may take up to 30 days, and the applicant is responsible to route the plans and obtain approval from the LA County Fire Department. The City will

At the end of Best Western near the rear emergency exit onto Prospectors, there is a small vacant lot on one side, and a Caltrans long piece of property that runs next to the freeway
all the way to Diamond Bar Blvd. Can you let me know if the encampment is on the vacant parcel, or at the rear of Best Western?
If the encampment is in the long Caltrans parcel that runs along the freeway, is it near Best Western, New Aashiyana Restaurant, or closer to the Tire business by Diamond Bar blvd?
If you have a photo as well that would be great. However, don’t take a photo if you can’t do so safely.
